Role Overview

The Paralegal will be responsible for supporting our legal team in a wide range of legal and administrative duties such as contract management, organization and preparation of legal documents, client communication, case file management, collections, and assisting with billing and payment tracking. This role plays a crucial part in ensuring the efficiency, accuracy, and compliance of legal operations within the firm.

Job Description:

    • Execute outbound calls and written communications to collect overdue invoices and retained legal services.
    • Establish and monitor payment plans for clients with outstanding balances, ensuring adherence to agreed terms.
    • Review statements of account with attorneys to ensure billable hours or flat fees are accurate before initiating the collection process.
    • Generate and analyze weekly accounts receivable reports to identify delinquency risks.
    • Professionally address client concerns regarding billing, escalating complex cases to firm management when necessary.
    • Maintain a detailed log of all collection interactions and updates in the CRM or accounting software.

    Requirements:

    • 2+ years of proven experience in B2B or B2C collections, ideally within a law firm or legal setting.
    • Fluent in both English and Spanish (C1/C2). Ability to negotiate complex financial terms in English is vital.
    • Familiarity with legal billing terminology (retainers, trust accounts, billing increments).
    • Ability to handle objections from difficult clients while maintaining diplomacy and excellence in customer service.
    • Proficiency in QuickBooks, Clio, MyCase, or similar legal management software.
    • Intermediate/Advanced Microsoft Excel skills.
    • Experience with CRMs (Salesforce, Zoho) and communication tools (Slack, Zoom).
