Role Objective

Support the finance team with a wide range of financial and administrative tasks, including contract management, payment collection, payment processing, updating financial records, and managing invoices. This role is vital to ensuring the firm's financial health and integrity.

Key Responsibilities: Financial Support & Administration


Contract Review & Drafting
 Prepare, review, and organize contracts to ensure they are accurate, complete, and compliant with company standards.

Client Payment Communication
 Serve as a point of contact for clients regarding current and outstanding payments, handling initial payments, upcoming, and overdue payments.

Invoice Creation & Monitoring
 Create and issue invoices in the financial system, reflecting accurately retained services, and follow up with clients for payment processing.

Financial Record Management
 Ensure financial records are up-to-date and accurate, reconciling discrepancies with attorneys and operational staff as necessary.

Payment Scheduling & Follow-Up
 Track and manage payment schedules, ensuring all payments are made on time, and follow up with clients to ensure adherence to payment terms.

Document Management & Filing
 Organize, secure, and maintain records of contracts, invoices, and related financial documents for auditing and reference purposes.


Essential Requirements: Financial Knowledge & Administrative Excellence


Finance & Administrative Experience (Mandatory)
 2+ years of experience in contract management, accounts receivable, or financial administration, ideally within a legal setting.

Proven Financial Transaction Expertise
 Strong track record of handling sensitive client financial transactions, meeting billing goals, and maintaining a high degree of accuracy in financial reporting.

Bilingual Proficiency
 Fluent in both Spanish and English, with strong written and verbal communication skills.

Strong Organizational Skills
 Excellent attention to detail, with a focus on maintaining accurate records and meeting strict deadlines.

Customer Service Excellence
 Excellent customer service skills and a professional, friendly demeanor when communicating with clients.

Technical Skills
 Proficiency in Microsoft Excel and accounting software (QuickBooks, SAP, or similar).
 Experience with CRM systems and other office tools (Salesforce, Zoho, etc.).
 Communication tools (Slack, Zoom, Teams)  
 Project management tools (Asana, Trello, or similar) 
 Familiarity with financial software and systems used in legal environments.
