Role Overview

The Paralegal will be responsible for supporting our legal team in a wide range of legal and administrative duties such as contract management, organization and preparation of legal documents, client communication, case file management, collections, and assisting with billing and payment tracking. This role plays a crucial part in ensuring the efficiency, accuracy, and compliance of legal operations within the firm.

Job Description:

  • Draft, review, and organize contracts and legal documents, ensuring they are accurate, complete, and compliant with company standards.
  • Act as a point of contact for clients regarding current case updates, payments, and document requests; this includes collecting initial information and following up on ongoing and outstanding matters in a timely fashion.
  • Conduct courteous and professional phone calls and emails to address client inquiries and coordinate legal processes.
  • Create, prepare, and issue legal documents in the system, accurately reflecting case and service details.
  • Verify document details, such as names, terms, deadlines, and case information, to eliminate discrepancies with attorneys and operational staff.
  • Monitor contract and case status and follow up with relevant parties to ensure prompt signatures and adherence to agreed terms.
  • Track and manage case deadlines and schedules to minimize delays and ensure compliance with legal requirements.
  • Organize, secure, enter, and maintain records of contracts, legal documents, and related case files for auditing and reference purposes.

Requirements:

  • College graduate with a degree in finance, business or a related field is a plus.
  • Prior experience in contract management, accounts receivable, or customer service is preferred.
  • Proven track record of trust involving financial transactions involving sensitive client information.
  • Preferably has worked in a legal setting.
  • Proficiency in both Spanish and English.
  • Proven experience in a finance-related role or administrative position is a plus.
  • Proficiency in Microsoft Excel and accounting software (e.g., QuickBooks, SAP, or similar).
  • Strong customer service skills
  • Strong organizational and time management skills.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Excellent communication skills and the ability to work effectively within a team.
  • Basic understanding of financial principles and practices.
  • Running Windows 10 or later or an updated version of macOS
  • RAM: Minimum 8 GB
  • Internet: 25–50 Mbps minimum speed
