Role Overview
As a Legal Support Representative, you'll manage client inquiries across phone, email, chat, and SMS—handling multiple calls simultaneously, logging case updates, and proactively following up with clients throughout their legal journey. Key Responsibilities: Client Communication & Case Support
- Client Inquiry Management
- Manage client inquiries via phone, email, chat, SMS, and social media, ensuring a positive, professional, and efficient client experience.
- Call Handling
- Handle inbound and outbound calls—often multiple simultaneously—logging and classifying each interaction (e.g., transfer, inquiry, follow-up).
- Issue Escalation
- Address client concerns and escalate complex or sensitive case issues to the appropriate attorney or department.
- Case Status Follow-Up
- Proactively follow up with clients regarding ongoing cases and pending requests, keeping them informed throughout the process.
- Records Maintenance
- Maintain and update client records and case documentation accurately within systems such as INSZoom or Docketwise.
- Service Issue Prevention
- Identify potential service issues before they escalate and initiate proactive solutions to protect the client experience.
- Compliance & Best Practices
- Stay current on company policies, procedures, and service standards; support ad hoc administrative tasks and projects as assigned.
Requirements:
- Customer Service Experience (Mandatory)
- 1+ year of experience as a receptionist or in a customer service role, ideally within a US-based company.
- Call Handling Knowledge
- Prior experience handling inbound and outbound calls, with familiarity logging and categorizing interactions.
- Strong Attention to Detail
- High attention to detail, with the ability to accurately document and track client records and case information.
- Bilingual Proficiency
- Fluent in both English and Spanish, with strong written and verbal communication skills (English proficiency at a minimum C1 level).
- Communication Skills
- Excellent written and verbal communication skills, with the ability to convey information clearly and empathetically to clients.
- Adaptability
- Comfortable managing multiple client interactions simultaneously (up to 3 calls at once) in a fast-paced, high-volume environment.
- Technical Skills
- Experience with INSZoom or Docketwise is a plus.
